Responsibilities

Responsible for clinic operations, ensuring that efficient systems are in place and that staff is properly trained.  Provide direction and leadership for patient care in the Women’s Obstetric & GYN departments, and all other women’s health programs such as Family Pact, Every Woman Counts and CPSP.  Collaborate with other leaders to facilitate favorable department financial performance and ensure that the highest quality of care and productivity is performed.  Direct and motivate staff to deliver high-quality care and exceptional patient experiences.

 

Supervises

Patient Service Representatives, Medical Assistants, Surgery Scheduler, Care Coordinator, Patient Flow Supervisor and Prenatal Manager

 

Essential Job Functions

  • Provide direct supervision to the above-referenced employees
  • Select, orient and train employees and evaluate job performance
  • Assign and complete job assignments and work schedules for staff and clinicians
  • Monitor time and attendance of employees including the approval and coverage arrangement for time off; monitor time and attendance of clinicians
  • Coordinate the function of the clinic and ensure that all patients are treated in a timely, professional and courteous manner and ensure customer satisfaction
  • Ensure adequate coverage and mix of clinicians and support staff for clinical service delivery; arrange for coverage as necessary to maintain services as needed when clinicians and staff are on leave
  • Set up and maintain monthly clinician schedule
  • Maintain knowledge of the appointment schedule; review scheduling of site on a daily basis; review availability of appointments to assist in accommodating patients who request services throughout the day; coordinate access to care with Clinic Managers at all sites; monitor to assure that all patients are reminded on the day before their scheduled appointment
  • Periodically review registration paperwork to assure that all charts, forms and reports are available prior to the patient visit; ensure that staff is assessing patient eligibility for programs and assign staff to assist patients with paperwork to determine which programs benefit the patient
  • Observe and monitor patient flow activities throughout the day to ensure that patients are seen in a timely fashion; communicate to staff and patients any delay in serving patients and assist staff in expediting patient care
  • Act as an advocate for patients by communicating patient needs and concerns about their care, treatment or delay in care to staff, management and clinicians; seek resolution to concerns; act as patient ombudsman
  • Monitor all patient care staff for appropriate customer service behavior; provide feedback on performance to staff members’ direct supervisors, and participate in development of corrective action plan to improve customer service
  • Maintain knowledge of all aspects of the clinic operations and the duties of MSR-reception, appointments, Medical Records, Medical Assistant, Case Management, and HIV and Family Planning Counseling; fill in to provide assistance with patient flow as needed
  • Update employees on all clinic programs by providing information, direction and monitoring of procedural changes; ensure all staff has received adequate training and supervision in changes and that all memos are noted and initialed
  • Monitor "Failed Appointments" and follow up according to protocol
  • Inform employees of in-services and meetings and arrange coverage for staff to attend meetings as needed
  • Record and report any unusual occurrences or incidents; utilize the "variance report" correctly
  • Prepare productivity, goals & objectives and other pertinent reports on a timely basis; utilize information generated from the reports to prepare corrective action plans and manage daily operations
  • Promote employee and patient safety needs and communicates these needs and recommendations as indicated; utilize appropriate problem solving techniques
  • Resolve patient and staff complaints; monitors patient satisfaction survey and time studies
  • Communicate between all shifts to ensure that all instructions are followed
  • Arrange and conduct staff meetings on a regular basis
  • Participate in Operations related meetings and serves on various committees as assigned
  • Participate in program planning
  • Take part in clinic activities to increase employee morale and maintain a good humored perspective
  • Have knowledge of and utilize appropriately all of the programs within the clinic and oversee patient placement within these programs
  • Be available as a resource person for all staff and patients
  • Update employees on all clinic programs by providing information, direction and monitoring of procedural changes; ensure all staff have received adequate training and supervision in changes
  • Participate in reengineering efforts by providing input, implementing changes, and maintaining new procedures; provide continued monitoring of changes
  • Assist with the development of protocols and policies and procedures
  • Ensure compliance with DHS licensing and regulations
  • Assist in the preparation of the clinic for audits and site visits
  • Assist in monitoring all programs for compliance
  • Arrange for equipment repairs and ensures calibration is done according to schedule
  • Enhance professional growth and development through participation in educational programs, current literature review, in-service meetings and workshops
  • Support the vision, mission and goals, and demonstrate a commitment to the values, of the organization
  • Perform other duties as directed

Qualifications

Minimum

  • Minimum four years’ experience in a clinical management experience 
  • Minimum two years’ experience working in OB and/or women’s health
  • Minimum four years’ experience and training in clinical systems 
  • CPR Certification (BLS Child, Infant, Adult)
  • Valid California driver’s license, current vehicle insurance, and reliable transportation

Preferred

  • Medical Assistant or LVN certification/experience
  • Bilingual English/Spanish

Required Skills/Knowledge/Abilities

  • Knowledge of community health centers, and public assistance programs, state and federal regulations and managed care systems
  • Strong experience with computers, Microsoft Office products, business e-mail communication systems and internet search capabilities

Preferred Skills/Knowledge/Abilities

  • Experience/familiarity with Practice Management and Electronic Medical Records systems, NextGen preferred

Pay Range

$82,000 - $92,000
